Resignation letter is written when you are leaving a job for personal or professional reason, to send it to the management of the company where you work. Before sending the resignation letter, you need to inform the immediate reporting head about your decision. Once you are done with this, then you need to send the resignation letter to the HR or the other concerned authority of your organization. The reason for leaving the company may be on negative reason but that negativity should not reflect in your resignation letter.

Some information that needs to be mentioned in the resignation letter is:

  1. It is absolutely mandatory to mention your contact information. You need to mention your name and address at the start of the letter and the date under the address. The company name, designation, HR or the manager's name should be mentioned under the date. If you are not sure about whom to send the letter, find out the information from your reporting manager or supervisor.

  2. Start the letter with appropriate greeting. The starting paragraph should provide information about your resignation and the notice period. Do not stretch the letter for more than 2 to 3 lines. The reason for reason for leaving and other details can be mentioned in the body of the letter.

  3. In the body of the letter, start with thanking the employer for giving the opportunity to work with the company and gain experience which will help in future endeavors. There are many reasons for leaving the job like better job opportunity, to complete education, medical reasons, relocation or the company is relocating to a new place. So mention the reason for leaving the job clearly.

  4. In the end of the letter, do not forget to mention that you will stay in touch and thank the employer. Be very sure to use proper letter writing etiquette while closing the letter. Mention your regards followed by your name and signature.
